October 2013 Board of Directors Meeting Minutes

Board of Directors Meeting Minutes
VPHO Association
Oct.  15, 2013

David Jeffreys called the meeting to order at 5:00 pm.  In attendance were Rebecca Powell (treasurer), Diane Speer (vice president), and Marilyn and Bob McKoy (HOA managers).

The minutes from the Sept. meeting were read by Diane Speer and approved by the board.

Financial Report:  Marilyn reported that as of this date, our balance is $7,321.26.  Our reserve account has a balance of $10,003.88.  It was noted that we are very close to the previous 17 month budget.  She also reported that along with quarterly dues, many of the late fees have been collected.

There was concern over two electric bills to the association.  Bob McKoy looked into this matter and reported, post meeting, that they are indeed correct. One meter is for the south entrance sign lighting, and the other meter is for the pump and irrigation system on 41st Street.

The budget for 2014 was gone over with minor adjustments made.  This budget will be available on our Face Book page, the blog as well as given to each member attending the annual meeting next month.

Old Business:  Marilyn sent a letter to a neighbor taking a very long time to finish an approved project on their home.  It is hoped that their project will be complete by the end of the year.  There has been no response from the homeowner.

As voted on in the last meeting, two homes with lawns and homes in bad need of attention were cleaned up by our landscaper, Jeremy Pealer. 

Also approved at this meeting was the idea of Doggie Bags placed in two areas of the community, which was brought up for discussion by David Jeffreys at our last meeting.  Rebecca Powell with be ordering these soon.

It was noted that the county is trimming much of the brush along the fence and berm on the soccer fields.  Rebecca was instrumental is talks with various people to get this done for residents.

Rebecca Powell reported that as head of the nominating committee, she has talked to a few residents to fill the open position that will be left with David retiring from the board.  To date, no one has definitely agreed to run for the office.  Nominations can be made from the floor during the meeting by anyone.

New Business:  Diane Speer reported there have been no new ARC applications at this time.

Necessary mailings for our Annual meeting will be in the mail on Oct. 17th for the meeting at Pine Valley Baptist Church on Nov. 19 at 7 pm.

The meeting was adjourned at 6:00 pm.
