April 2014 Board of Directors Meeting

Board of Directors Meeting Minutes
VPHOA
April 29, 2014

Rebecca Powell called the meeting to order at 5:37 pm.  Others in attendance were Diane Speer (vice president) and Marilyn and Bob McKoy, (management).

Diane Speer read the minutes from our previous meeting of Feb. 4th, 2014 and the minutes were approved.

Financial Report:  Marilyn gave a summary of our financial standing as of this date, as follows:
Balance on hand   $9,488.26
Reserve Fund        $10,006.76
Total Balance        $19,495.02

Marilyn reported there are some outstanding fines and continuing liens on some properties.  When asked if the owners appealing their fines/liens had followed up with either phone calls or in writing to make arrangements as to how they might handle the situation, she reported they had not.  In one instance, the board agreed to waive a fine for a homeowner with the understanding that any future violations would result in a fine.

Old Business:

Rebecca reported that so far there have not been serious parking issues in the neighborhood due to events on the fields.

Rebecca also reported that a neighborhood get together is in the planning stage.

Diane reported that the CARE committee she suggested at last meeting was put into our most recent Newsletter and explained.  She was pleased to report that Vicky McAniff has volunteered to help, our thanks to her.

The concern of mold on many homes was also included in the Newsletter, encouraging homeowners to take care of the situation by June.

Rebecca also suggested in regards to the Newsletter that a post be put on our Facebook page reminding residents that they can request information to be put into our Newsletter and contact information.  Diane has agreed to do this.

New Business:

The board discussed when to have our landscaper do the next community wide edging of our sidewalks and general clean up of common areas.  It was decided to request it be done in June.  Bob McKoy will contact Jeremy Pealer for us.  Prior to June we are requesting a clean up of the center area of the cut thru around the pine tree, which has lost another limb making it difficult to pass thru.

Diane asked Rebecca if our “doggie bags” had needed to be replenished yet.  She responded they had not.

Diane reported on the Architectural Committee.  There were two requests since our last meeting.  One application concerned a new metal roof and porch extension, which was approved.  The other concerned a shed in a back yard which is tentatively denied until further information is shown to comply with the city ordinance set back laws of 5’ from property lines.
Diane was also happy to report that the new head of the ARC is Arlene Rivenbark, who has served on the committee for many years as well as a past board member.  We also welcome a new member to the committee, Ashley Carnes.  Diane reported that the ARC committee for 2014 consists of Arlene Rivenbark, Matt Jansohn, Sally Eagon, Ashley Carnes, George Sheppard and Diane Speer.

In regards to property issues, the board discussed lawns needing mowing and a few parking violations where residents are blocking sidewalks.  It was also reported that a fence had been erected without application or approval.

The next meeting was scheduled for July 8, 2014 at 5:30.

The meeting was adjourned at 6:41.

Respectfully submitted by Diane Speer
